ESS expansion adds online leave option

SLIPPERY ROCK, Pa. - Requesting or tracking vacation, days off, sick days or other leave will soon be just a few clicks away when Slippery Rock University's Office of Human Resources fully implements a new segment of the Pennsylvania State System of Higher Education Employee Self-Service online program.

"The first phase of the ESS system went into use several months ago, and we are already piloting a new portion of the program with selected offices on campus as a way of working out the kinks before the system is fully implemented campuswide," said Marcia Kotek, benefits and transactions manager in SRU's Office of Human Resources. "We will bring offices and departments online gradually and when the entire process is completed, we will completely eliminate the need to fill out the traditional paper leave slips."

The new system at SRU is expected to be fully operational within a year.

Kotek said part of the delay is in building the infrastructure or the behind-the-scenes portion of the computer program that routes leave requests to appropriate supervisors for approval or denial.

"Once fully operational, employees requesting leave will go online, complete the form and submit it electronically. The system will route an e-mail to the appropriate supervisor with an alert that a request is pending. Once the supervisor approves or denies the request, an e-mail will be returned to inform the employee of the decision, and if approved, the employee's leave balances will then be appropriately charged," Kotek said.

The ESS system, which is operational for employees throughout PASSHE, is a Web-based service that provides employees with information related to their employment with the state system.

The current system allows employees to sign on to change their emergency contact information and other data. The system also allows employees to review their benefits, including health, insurance and retirement plans. The system identifies those who have elected to join the Healthy U program related to health insurance premiums. It also allows for payroll information, including current pay or previous pay date reviews as well as leave time reviews in real time. Federal income tax W-4 information may also be reviewed and updated on line through the ESS system.

Registration requires employees to enter their user logon and then create a password. The password expires every 90 days, but can be re-set online.
